Part-Time (20 hour week M-F) Construction Administrator
Minimum of 1 year working in a construction office.
We are seeking a dependable and detail-oriented Part-Time Construction Administrator to support the daily administrative, accounting, HR, and project coordination needs of a residential and commercial construction company.
This position is ideal for someone with construction office experience, basic accounting knowledge, QuickBooks experience, strong Microsoft Office skills, and the ability to keep projects organized from estimate through closeout.
Responsibilities
- Maintain organized project files and company records.
- Assist with accounts payable, accounts receivable, invoices, billing, and job cost tracking.
- Enter and manage information in QuickBooks and construction management software.
- Track subcontractor and vendor documents, including W-9s, insurance certificates, lien waivers, contracts, and invoices.
- Assist with project setup, change orders, permits, inspections, billing, and closeout documents.
- Maintain Excel spreadsheets for project tracking, accounting logs, permits, change orders, and office reporting.
- Support basic HR functions, including employee files, onboarding paperwork, timecards, and payroll support.
- Communicate professionally with project managers, subcontractors, vendors, clients, and ownership.
- Assist with general office administration, document control, scanning, filing, scheduling, and follow-up.
Qualifications
- Prior administrative experience required.
- Construction office experience preferred.
- QuickBooks experience required or strongly preferred.
- Experience with construction software preferred.
- Basic understanding of construction projects from estimate to closeout.
- Basic accounting knowledge, including invoices, billing, payments, job costing, and vendor records.
- Strong Microsoft Office skills, especially Excel.
- Strong organization, follow-up, and communication skills.
- Ability to manage multiple tasks and deadlines.
- High attention to detail and accuracy.
- Ability to maintain confidential company, employee, client, and financial information.
- Notary helpful.
Preferred Experience
- Residential or commercial construction administration.
- Accounts payable and accounts receivable.
- Job costing and project billing.
- Subcontractor compliance tracking.
- Permit and inspection coordination.
- HR support and employee recordkeeping.
- Excel spreadsheets, formulas, filters, and tracking logs.
- Notary helpful
Compensation
Pay will be based on experience, construction knowledge, QuickBooks ability, accounting skills, Excel proficiency, and overall office administration experience.
